This Privacy Policy explains how equen, operated by Kodai Hiradate (“equen,” “we,” or “us”), handles information when you use the equen iOS app and this website.
1. Information stored on your iPhone
The following information is stored locally on your device:
- names and roles you enter for people;
- conversation preparation, including facts, assumptions, objectives, expected responses, and notes;
- agreements, open questions, new context, and follow-ups you confirm after a real conversation;
- rehearsal transcripts, only according to the retention option you choose; and
- the date and event reference for a meeting you select.
Conversation transcripts, reflections and shared context can be deleted automatically after 7 days or 30 days, or kept until you delete them. Closing a screen does not delete its saved conversation. Confirmed memories and manually added notes are kept separately. Settings lets you delete records immediately.
2. AI processing and your choice
Before information is first sent for AI-assisted preparation or a live rehearsal, equen identifies the information involved and the service providers that process it, and asks for your explicit agreement before sending.
When you continue, equen sends only the information needed for the feature you requested. Depending on the feature, this can include a name or role you entered, relevant preparation, relevant confirmed relationship context, live rehearsal audio, and the rehearsal transcript. Preparation and review requests pass through Google Firebase Functions to OpenAI; live rehearsal audio streams directly to OpenAI.
equen does not persist the content of those requests on its application backend. Rehearsal audio is not saved as an audio file. OpenAI API data is not used to train OpenAI models by default; limited retention for abuse monitoring may apply under OpenAI's data controls.
Avoid entering information that is not necessary for your rehearsal, particularly sensitive personal information or confidential employer information.
Feedback on AI output. When you rate an AI result, such as a review or the practice counterpart, as helpful or not, we store your rating, the reasons you selected, the optional line you type, fixed descriptors of the output (such as goal status, the number of turns and the counterpart style you chose), and the app version and language, to improve the quality of the AI. We do not send or store the conversation, the text the AI generated, the other person's name, or any identifier of you or your device. Please do not include names of people or companies in the optional line. Feedback is sent only when you choose to, after you have agreed to AI processing, and is deleted automatically after 180 days.
3. Microphone, speech recognition, and calendar
Microphone
Microphone access is requested immediately before voice rehearsal or an AI-assisted voice conversation to organize your context or outcome notes. Live rehearsal audio streams to OpenAI and is not saved as an audio file.
On-device speech recognition
AI-assisted voice input uses on-device speech recognition and speech playback. Recognized text is sent through Firebase Functions to OpenAI to ask follow-up questions and organize your notes. Audio files are not saved.
Optional calendar connections
You can choose to allow access to calendars available on your iPhone, or connect Google Calendar directly. Calendar access is optional; you can prepare for conversations without connecting a calendar.
iPhone calendar access uses the permission granted in iOS. Direct Google Calendar connections use Google's sign-in and consent screen. equen does not receive your password. After you grant access, your iPhone communicates directly with Google Calendar API over HTTPS. These connections request read-only calendar permissions and permission to maintain the connection. equen does not create, change, or delete events.
Calendar information and its purpose
equen reads calendar names, account labels and calendar identifiers (which may include an email address), plus event titles, start and end times, event identifiers, all-day or cancellation status, and participant names. equen uses the names for matching. Direct connections do not request event descriptions, attachments, email messages, or chats.
This information lets you choose which calendars to display, see upcoming meetings, find possible matches for a person you entered, and associate preparation with a meeting time. The app checks events from two hours ago through the next 30 days and excludes all-day and cancelled events from the list.
Calendar storage and sharing
Retrieved event details are held in memory, without a persistent event cache. When you select an event, only its start date and reference identifier are saved with your preparation. Your choice of calendars is stored in the app's preferences. Connection tokens, including the token used to renew access, and the connected account label are stored in the iPhone's protected Keychain, accessible only while the device is unlocked and without syncing these credentials to other devices. They remain until you disconnect that provider in equen.
Calendar contents are not sent to equen's application backend or AI providers. Calendar names, account information, event titles, participant details, event identifiers, and connection tokens are not sent to analytics services. If you enable usage analytics, a broad meeting-time category may be sent as described in section 5; exact meeting times are not sent. We do not sell calendar information, use it for advertising, or use it to train AI models. If you separately enter information into an AI-assisted conversation, section 2 applies to that information.
Google API data
equen follows the Google API Services User Data Policy, including its Limited Use requirements, when using information received through Google APIs or transferring that information. Our use is limited to the calendar features above and the optional usage measurement described in section 5.
4. Purchases
Apple processes subscriptions and one-time purchases. RevenueCat verifies the product, purchase history, renewal period, refunds, and transfers using a pseudonymous identifier created by Firebase anonymous authentication. No registration screen is required. equen does not receive your full payment card details.
Firebase Firestore stores the identifier, verified transactions, free and paid allowances, consultation and request identifiers, response counts, and measured voice usage. These records prevent duplicate charges and maintain purchased balances. The billing ledger does not contain names, conversation text, documents, or audio.
5. Security and optional usage and diagnostic services
equen uses Apple App Attest through Firebase App Check to help prevent unauthorized use of its backend. The app also uses an installation-scoped, pseudonymous identifier for service integrity, rate limiting, and subscription access. We do not use these identifiers to track you across other companies' apps or websites.
Versions before 1.3 offered an optional app lock. Face ID or the device passcode was evaluated by iOS, and equen never received or stored biometric data. The lock was removed in version 1.3.
To show update notices, the app retrieves the required and recommended app versions from Firebase Remote Config at launch and when you return to it. Google processes a Firebase installation identifier and technical app and device information for this.
If you enable usage analytics, Firebase Analytics receives app usage events and broad categories to help us understand and improve equen, without names, notes, or rehearsal transcripts. For a prepared meeting, the time category is no date, under 24 hours, 24–72 hours, or later; the exact meeting time is not sent. Analytics and crash reporting are off by default and can be turned off separately in Settings. We do not use these events for advertising or tracking across other companies' apps or websites.
Firebase Analytics also processes app-instance identifiers, device and app information, approximate location derived from IP addresses, and automatic events such as sessions and in-app purchases. We disable advertising identifiers, IDFV collection, automatic screen reporting, and advertising personalization. We do not assign a Firebase Analytics user ID.
If you enable crash reports, Firebase Crashlytics receives crash stack traces and diagnostic information such as app and OS versions, device state, and installation identifiers. Custom diagnostic logs exclude names, notes, conversation content, audio, and transcripts. Reports are sent on a subsequent launch while this option is enabled; pending reports are discarded on launch when it is disabled. Turning off a service stops future sharing but does not recall reports already sent to that provider.
6. Retention and deletion
Preparation and relationship records remain on your device until you delete them or delete the app. Conversations, reflections and shared context follow the retention choice in section 1. Live AI content is not retained by equen's application backend. Service providers may retain limited operational or abuse-prevention data according to their policies and our service configuration.
equen creates an anonymous usage account without manual registration. Use Settings → Delete account and data to delete local records, calendar credentials, Firebase authentication and account usage records, and your RevenueCat customer profile. You can also delete only the records on this iPhone. Account deletion does not cancel an Apple subscription; a link to Apple subscription management is provided before deletion. Unused consumable balances may no longer be recoverable. To prevent a restored purchase from granting already-spent credits again, we retain only a transaction hash and consumed quantities, without an account identifier or conversation history. Temporary deletion guards expire after 24 hours; deletion receipts expire after 30 days, and the account identifier is removed from the receipt when deletion completes. Apple retains its own purchase records.
In Settings → Calendar connections, disconnecting Google stops that connection and removes its tokens, account label, calendar selection, and fetched events from equen on that device. It leaves the provider's original events, your saved preparation, and conversation history intact. Disconnecting the iPhone calendar stops equen from displaying its events; you can also withdraw calendar access in iOS Settings.
Disconnecting in equen does not revoke permission in your Google account. To revoke that permission, use Google's permission-management link in Calendar connections, or manage connected apps in your Google account. Deleting app content or uninstalling equen does not itself revoke that permission. To remove stored connection tokens, disconnect before uninstalling the app.
7. Sharing and international processing
We share information only with service providers needed to operate the feature you request, including Apple, RevenueCat, Google Firebase, and OpenAI. These providers may process data in countries other than your own under their applicable safeguards. We do not sell or rent personal information.
If you choose a direct calendar connection, Google handles sign-in and the calendar requests from your device under its own policies. This is separate from the AI processing in section 2; calendar information is handled as described in section 3.
8. This website
This website does not use advertising trackers or create user accounts. Its hosting provider, Cloudflare, may process standard network and security information such as IP address, request time, and browser information to deliver and protect the site.
9. Children
equen is a professional workplace tool and is not directed to children under 13. We do not knowingly collect personal information from children.
10. Changes and contact
We may update this policy to reflect changes to equen or applicable requirements. The effective date above will be updated when material changes are made.
